How Cerno Society handles your information. Last updated May 2026.
Cerno Society Ltd ("we", "us", "our") is the data controller for the personal information you give us. We are a not-for-profit company limited by guarantee, registered in England and Wales (company no. 17009011), with our registered office at 167-169 Great Portland Street, London W1W 5PF. We collect only what we need to run our events and stay in touch with the people who want to hear from us.

What we collect

Your name and email address, when you book an event or join our newsletter.

Your booking and attendance records, so we can run the session and know who is coming.

Limited correspondence, where you contact us directly (for example an access request or a question).
Payment is handled by our payment provider. We never see or store your card details.
Where your information comes from
In almost every case, the information we hold is information you have given us yourself, when you book a seat, sign up to the newsletter, or get in touch. We do not buy or collect personal information about you from other sources.
Why we use it, and our lawful basis

Under the UK GDPR we have to tell you why we use your information and the lawful basis for each use. Ours are:

To deliver the events you book (sending tickets, managing your place, contacting you about the session). Lawful basis: performance of a contract with you.

To send you our newsletter, only where you have asked to receive it. Lawful basis: your consent. You can withdraw that consent at any time (see Your rights, below).

To meet our legal and accounting duties as a company (for example keeping financial records). Lawful basis: legal obligation.
Who we share it with
We use trusted providers to run the Society, and they process some of your information on our behalf and under our instructions:

Wix, which hosts our website and handles event bookings and payments. Booking and contact details you enter on the site are processed through Wix.
Some of these providers may process information outside the UK. Where that happens, we rely on the safeguards their service provides for international transfers. We do not sell your information, and we do not share it with anyone else except where the law requires us to.
How we store it and how long we keep it
Your information is held securely within the systems described above, with access limited to those who need it to run the Society.

Newsletter details: kept until you unsubscribe, after which we remove you from the list.

Booking and event records: kept for as long as we need them to run the event and to meet our legal and accounting obligations, then deleted.
Your rights

Under data protection law you have the right to:

Rectification, if anything we hold is inaccurate or incomplete.

Data portability, asking us to transfer your information to you or another organisation, in certain circumstances.
Where we rely on your consent (our newsletter), you can withdraw that consent at any time, and we will stop. Withdrawing consent does not affect anything we did before you withdrew it.
You do not have to pay to exercise any of these rights. To make a request, email us at info@cernosociety.com. We will respond within one month.
How to complain

If you have a concern about how we use your information, please tell us first at info@cernosociety.com, and we will try to put it right.
